When Lincoln Families, a nonprofit organization dedicated to improving outcomes for children and families through support services, decided to embark on the journey of implementing a new Electronic Health Record (EHR) system, they knew they needed expert guidance to navigate the complex process. That’s when they turned to Xpio Health, a healthcare technology consultant with deep knowledge of EHR systems.
Carmen Balingit, Director of Quality and Evaluations at Lincoln Families, shared her experience working with Xpio Health. “Honestly, we would not be where we are today if not for their one-on-one assistance and support,” she said, emphasizing the critical role Xpio Health played in their success.
The journey began with Lincoln Families evaluating more than 10 EHR vendors, a daunting task for any organization. While Xpio Health wasn’t directly involved in the selection process, they provided valuable guidance and support. “Xpio wasn’t really involved in that, but they let us hold the reins while giving us things to look out for. They provided guidance,” Carmen explained.
Throughout the implementation process, Carmen worked closely with Jill Johnson, Director of EHR Services at Xpio, and Bill Bright, an Xpio solutions consultant specializing in billing configurations for EHRs. “They’ve been by my side through the whole process – through the challenges of choosing a new EHR, setting that up, implementing, and then also the joys of getting things to work,” she said, highlighting the unwavering support she received.
One of the most significant hurdles Lincoln Families faced was navigating the complexities of the implementation process. Carmen felt that there were moments where additional expertise and urgency could make a difference. That’s when Bill stepped in. “Xpio, Bill in particular, was really professional in the sense that he wouldn’t say anything directly, but he would be like, ‘You know, Carmen, I think we need to advocate here. I think you need to speak up here.’ He was just very supportive in a very professional way,” Carmen recalled.
“It was just nice to have Bill there because I was second guessing myself. But to have Bill there giving me the confidence to say, ‘No, I don’t think this is right. This isn’t working,'” Carmen said, emphasizing the importance of Bill’s support.
Jill played a crucial role in project management and keeping the Lincoln Families team on track. “Without directly saying it, because she has a very gentle approach, she’ll tell me, basically, “Crack the whip with your team.’ Because our team likes to think about things a lot,” Carmen shared, appreciating Jill’s ability to keep the project moving forward.
One of the most significant moments in the implementation process was the data migration, which Xpio Health took the lead on. “She recognized the need and offered a solution upfront. I wouldn’t have known to even ask Xpio, ‘Could you take the lead on the migration?’ She recognized we were having struggles and challenges with that and she jumped right in and offered her help,” Carmen said, highlighting Jill’s proactive approach.
When asked about the impact of Xpio Health’s involvement on Lincoln Families’ growth, Carmen’s response was unequivocal. “Oh yes. Like I said, we wouldn’t be where we are right now. We would still be stuck in migration if it wasn’t for Xpio. I’d probably still be grappling with the same challenges in billing.”
The collaborative nature of the relationship between Lincoln Families and Xpio Health was the most valuable aspect for Carmen. “I feel like if I were to describe where we are, what our challenges are with the system, they would have the exact same statement as me,” Carmen said. “We’re very in tune. They communicate well, they’re always present. When I ask questions, they’re always there to assist along the way,” she said.
When asked if she would recommend Xpio Health to others, Carmen’s answer was a resounding yes. “I would say yes, if you don’t have any experience working with an EHR or the level of experience of setting it up, or having someone internal that can hold that as a full-time job. I would definitely recommend Xpio. Even if you had someone who’s an expert, just to have those second eyes to help you test, to help you set up stuff. I would definitely recommend them without missing a beat.”
Lincoln Families’ success story is a testament to the power of collaboration and expert guidance in navigating the complex world of EHR implementations. With Xpio Health as a partner, they were able to overcome challenges, make informed decisions, and ultimately achieve their goals.
